Privacy Policy

SoloBrief ("we", "us") is a project intake tool for freelancers and solo operators. This policy explains what information we collect, how we use it, and the choices you have. It applies to the SoloBrief website and app at solobrief.hk-bizflow.com.
SoloBrief is used by two kinds of people: account holders (freelancers who sign in and create briefs) and clients (people who fill in a brief via a shared link, without an account). This policy covers both.
Information we collect
Account holders
- Google account details. When you sign in with Google we receive your name, email address, and profile photo from Google. We use these to create and identify your account. We never see your Google password.
- Content you create. Briefs, intake questions, Scope of Work documents, and any deposit or scheduling links you add are stored so the service can work.
Clients filling in a brief
- Brief answers. The answers you type into a brief, and the typed name you provide if you sign off on the Scope of Work, are stored and shared with the freelancer who sent you the link. Clients do not need an account, and we do not require any information beyond what the brief asks for.
Everyone
- Usage analytics. We use Google Analytics to understand how the site is used (pages visited, approximate location, device type). Google Analytics uses cookies. We do not use analytics data to identify individuals.
- Local preferences. Your light/dark theme choice is stored in your browser's local storage and never leaves your device.
How we use information
- To provide the service: creating briefs, collecting answers, compiling Scope of Work documents, and showing them to the right people.
- To operate, maintain, and improve SoloBrief.
- To communicate with you about your account or the service.
We do not sell personal information, and we do not use your briefs or your clients' answers for advertising or to train AI models.
Where your data lives
SoloBrief runs on Google Firebase. Authentication is handled by Firebase Authentication and your data is stored in Cloud Firestore, on Google Cloud infrastructure in the United States. Data is encrypted in transit and at rest by Google Cloud.
Sharing
- Between you and your client. A brief is shared between the freelancer who created it and anyone who has its private link. Answers a client submits are visible to the freelancer; the compiled Scope of Work is visible to both.
- Service providers. Google (Firebase, Analytics) processes data on our behalf as described above.
- Third-party links. Freelancers can attach Stripe payment links and Calendly booking links to a brief. If you use those links, you interact with Stripe or Calendly directly under their own privacy policies — SoloBrief never sees or stores your payment details.
- Legal requirements. We may disclose information if required by law.
Brief links
Client briefs are accessed through unguessable private links. Anyone with a brief's link can view that brief, so treat links like you would any private document link and only share them with the people involved in the project.
Retention and deletion
Your data is kept for as long as your account is active. You can delete individual briefs at any time from the app, and you can delete your account (including all of your briefs and the client answers they contain) from the Settings page. Deletion is permanent.
If you are a client and want your answers removed, contact the freelancer who sent you the brief, or email us at the address below and we will help.
Your rights
Depending on where you live (for example, under the GDPR or similar laws), you may have the right to access, correct, export, or delete your personal information. You can do most of this directly in the app; for anything else, email us and we will respond within 30 days.
Children
SoloBrief is not directed at children under 16, and we do not knowingly collect information from them.
Changes to this policy
If we make material changes to this policy, we will update the date at the top and, where appropriate, notify account holders by email or in the app.
